The Administrative Assistant reports to the LOGISTEED America, Inc. VP, Corporate Administration. This role will primarily provide support to managers and employees, assist in daily office needs and manage the company’s general administrative activities. This role will possess excellent verbal and written communication and interpersonal skills, be proficient in Microsoft Office, have organizational skills and attention to detail while performing a variety of administrative and clerical tasks.

Essential Functions

  • Maintain HR related employee files/records
  • Process company credit card expense report
  • Safety Committee Representative for the office
  • Manage and maintain company vehicle records (i.e. vehicle assignment, annual registrations, etc.)
  • Support new car purchases, sale of old cars, vehicle transfers from one location to another, etc.
  • Internal approval and payment processing
  • Order office supplies
  • Coordinate local office maintenance and contracts with the landlord or other service providers
  • Shipping and receiving via USPS and small package carriers
  • Perform miscellaneous administrative duties
  • Coordinate company events, lunches, etc.
  • Support coordination of meeting schedules and prepare meeting minutes
  • Provide general support to visitors
  • Additional duties as assigned by Manager

Preferred Qualifications, Required Knowledge Skills & Abilities and Working Conditions

Previous Work Experience

  • Minimum of 3-5 years’ experience in an office setting working as an administrative support

Education and Certifications

  • High school diploma / GED required

Experience Requirements and Preferences

  • Proven experience as an Administrative Assistant or Office Administrative Assistant
  • Knowledge of office management systems and procedures
  • Excellent written and verbal communication skills
  • Proven strong business acumen
  • Working knowledge of office equipment, like computers, printers, etc.
  • Proficient in Microsoft applications
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail
  • Strong problem-solving and resolution skills
  • Strong organizational skills with the ability to multi-task
  • Fluency in English

  • Ability to read, analyze and interpret complex data
  • Ability to respond effectively to the most sensitive inquiries or complaints

Work Environment  

One hundred percent of the work time will be spent in an office setting where the environment is climate controlled.
